Objective:
Implement a user-friendly Channel Partner portal using Zoho CRM's built-in portal feature to manage lead registration, approval, tracking, and potential channel conflicts.
Project Flow:
Initial Setup:
Activate and set up the Zoho CRM portal feature.
Customize portal design
Lead Registration:
Create a lead submission form within the portal where Channel Partners can register their leads. The form should capture essential lead details such as company name, contact person, contact details, lead source, etc.
Implement a mechanism that allows Channel Partners to attach relevant documents or notes while submitting the lead.
Once submitted, leads automatically reflect in Zoho CRM's leads/contacts database with a "Pending Approval" status.
Lead Approval:
Implement an approval workflow in Zoho CRM where designated Alphageek staff can review the submitted leads.
Upon review, the status of the lead can be updated to "Approved" or "Rejected."
Notifications of the approval status will be sent automatically to the respective Channel Partner.
Lead Exclusivity & Tracking:
Once a lead is approved, lock the lead for the Channel Partner, ensuring no other partner can access or edit this lead. Set the exclusivity duration as per earlier discussed timelines.
Incorporate a lead tracking dashboard within the portal. Channel Partners can view the progress of their leads, from submission to approval, follow-up stages, and eventual conclusion.
Conflict Management:
Implement automation rules to identify potential duplicate leads.
If a potential duplicate is detected, notify the Alphageek representative to review and decide on the next steps.
Ensure a clear communication channel within the portal for Channel Partners to raise any disputes or seek clarification on lead statuses.
Lead Assignment (for Alphageek Generated Leads):
Alphageek staff can assign internally generated leads to Channel Partners using the CRM.
Once assigned, the respective Channel Partner receives a notification and can view the lead details in their portal dashboard.
Implement lead locking mechanism as discussed earlier.
